It’s not always easy to know when it’s time for a copier upgrade. Luckily, when you know what to look for, you can be prepared–and whether it’s time to replace your copiers now or you have some time left, you’ll be able to make a solid plan.

Although office copiers are one of the most overlooked pieces of technology in the modern workplace, they continue to provide important benefits to communication, workflows, and overall success. To keep doing that, however, they need a little bit of help from you. The most important thing you can do for your copiers is to create and implement a regular maintenance schedule. This will improve the longevity and performance of those hardworking copiers–but, of course, it won’t stop the inevitable. Eventually you will have to replace your office copiers.

But how do you know when “the right time” is? Here are a few warning signs to keep an eye out for.

  • Your costs are going up.

To find out if it’s time for a replacement, do this simple math: add up all the ink and toner you use, and then divide that by the machine’s output. If the rate of production is considerably lower than the usage of ink, you’re spending too much on your copier, and you might want to consider an upgrade.

  • Your copier isn’t secure.

If you notice that the security protocols in your workplace are getting stronger but your copier can’t keep up, that’s a big concern. After all, you don’t want a machine to be a security risk–and, unfortunately, this is especially true when it comes to older machines. Newer devices, on the other hand, are designed to be as secure as possible.

  • Parts are difficult to come by.

When you start to realize that it’s getting difficult to find parts for your copier, you definitely need to consider an upgrade. Don’t wait until you need a part that’s no longer available!
